RefWorks problems and how to fix them

We have recently been made aware of a few issues that are happening for people using RefWorks.

We are sorry for the incovenience and problems these are causing and have reported all of these issues to RefWorks, and where appropriate the database supplier, and are working with them to try and get these resolved.

Issues that happen when importing items using the “search online catalog or database” facility

Some books being imported with only partial edition information

When importing some books the edition will only be partially imported e.g. as thi rather than third or seco rather than second.

To fix this click the edit the record icon:

Then locate the edition field, make the changes and save.

Some books being imported with more than one date

At times when book information is imported you will see there is more than one date in the record.

Two dates

This can sometimes cause problems when adding citations to your essay and formatting the reference list / bibliography.

To fix this problem click the edit record icon, delete one of the dates and then save.

Some books being imported with no place and publisher information

There are a selection of books being imported without any place and publisher information.

To fix this problem click the edit record icon, enter the appropriate details and then save.

This problem has occurred because the catalogue records were supplied with missing information, library staff are in the process of manually updating these records with all the needed details.

Some items being imported as the wrong type

There are some books being imported into RefWorks as generic reference items rather than books and some streaming videos being imported as maps!

The books being imported as generic is not a problem for the creation of reference list as the reference for a generic item looks the same as those for a book. But to fix it click the edit record icon, open the reference type drop down menu, select the correct type and save.

Likewise to fix the issue with the streaming videos being wrongly identified as maps edit the record, choose the closest reference type, fill in any missing information and save.

Issues that happen when sending information from a database to RefWorks

Art Source problems

Art Source is one of the main databases for art, design, architecture and construction and it is possible to send records from Art Source over to RefWorks by following the step descibed here: EBSCOHost Databases – Procedure to transfer to RefWorks.

However while Art Source primarily includes journal articles when the results are sent to RefWorks they appear as the generic reference type rather than the journal article type.

This is a problem as the generic reference type is substantially different to the journal article one.

To fix it click the edit record icon, open the reference type drop down menu, select the journal article type and save. All the information will be in the correct fields.
